Registration

Location

This year’s conference takes place at the Hotel Roanoke in downtown Roanoke, VA. Please visit our Venue and Lodging page for more information on this vibrant location and to book a newly remodeled room in our room block.

Meals

In order to avoid food waste, meals are ticketed separately this year. Please join us for Lunch on Monday and Tuesday and for our Banquet Dinner on Monday evening in the elegant Crystal Ballroom, and purchase your tickets during Registration. Please note: you must purchase a meal ticket in order to attend meals at the Hotel Roanoke during the Conference.

Field Trips

Don’t miss these fun add-ons offered by our Roanoke-based and statewide EE partners! Field trips are provided free of charge to registered conference attendees. Three different Tuesday-afternoon field trips are available. Sign up for just one field trip in that single time slot. Please be sure to register to hold your spot.

Group Registration

For Group Registration, please select 2025 Full Conference Group Registration. Discounts apply for groups of three or more attendees from the same organization, school, or business.

Conference Support via Our Equity Fund

If you require financial support to attend the conference, you can apply to the VAEE Equity Fund. Expenses supported include conference registration, transportation, lodging, meals, and funds for securing childcare.

If you are applying to our Equity Fund, please DO NOT register for the conference until you have heard back from our Equity Fund committee. If you are not selected as an Equity Fund recipient, registration will still be available to you at the Early Bird rate. Applicants will know if they will be receiving Equity Fund assistance by mid-December.

Conference Registration Refund Policy

We understand that unexpected schedule changes may arise. Full refunds, minus a 10% administration fee, are available until January 29, 2025. No refunds will be provided after this date.

Early Bird Registration prices are available through December 6, 2024,

after which prices will go up to reflect regular Registration rates.
